Recording a site roster, positions and FTE targets

Record who works at each site, including staff without an account, set FTE per site, and track positions against your own staffing targets.

A site's roster is the list of people who work there. It drives the staffing numbers and the analyte coverage checks.

Adding someone

Click "Actions", then "Add to roster", and pick one of two kinds of person. Choose someone with a Legion Diagnostics account from the site group's members, or record someone without an account by name with an optional email. A name-only entry suits per diem staff or people who never sign in.

Then choose their position, their FTE at this site, a start date, the shifts they usually work, and any notes.

FTE is the share of a full-time workload at this site: 1.0 is full time, 0.5 is half time, and 0 suits per diem staff. Someone who works across several sites is entered at each site with that site's share. A designation such as Lab Director is recorded separately and does not change FTE.

Only people with an account can hold analyte authorizations, so someone recorded by name counts toward coverage only through a recorded exception. Linking them to an account later lets their authorizations count.

Changing and ending a roster entry

To correct a person's position, FTE or start date, click "Edit" on their row. Each correction asks for a reason, and the audit trail keeps the old and new values.

When someone leaves, choose "Archive" to take them off the roster, with their last day at the site and a reason. They stay listed under "Archived" and can be restored.

Positions

The position list combines your organization's own positions with standard ones. MLS, MLT and Lead Technologist count as testing staff, while Laboratory Supervisor, Laboratory Manager, Laboratory Assistant, Phlebotomist and Courier do not. To add a custom position, use the same list, and check "Performs patient testing" if it is a testing role.

Staffing targets

To record how many FTE a position should have at the site, how many jobs are posted, and an optional hiring note, click "Actions", then "Set a staffing target". For each position, the "Positions & targets" card then shows the people in it, the filled FTE, the target, and the unfilled FTE (the target minus what is filled, never below zero).
