AI access settings and AI credits
Choose who can use the AI assistant and what it may read or change for each role or person, and keep an eye on AI credit use.
Your Primary Site Administrator decides how the AI assistant is used in your organization.
Turning it on or off
The assistant can be turned off for the whole organization, which needs a typed confirmation. When it is off, the "AI Assistant" button is disabled with a note to speak to your Primary Site Administrator, and uploads are read only when they follow a module's Data Upload Guide.
Individual people need the "Use AI assistant" permission, which every role has unless you remove it.
AI access by area
In access control, use "AI Access" to set what the assistant may read and change in each area of the app, such as the Test Directory, documents, training, quality control and inventory, and whether it may search the web. Set defaults for each role, then adjust them for individual members. Inspectors and trainees are read-only by default, and only the Primary Site Administrator may add to the knowledge base through the assistant.
These settings can only narrow what the assistant does. It never goes beyond the person's own permissions in the app.
AI credits
AI features use credits from your organization's allowance. To see usage, open "Organization settings", then "AI usage". The page shows usage over a date range, how many people used AI, credits remaining, and usage by month and by site group. Primary Site Administrators see the whole organization, and Site Managers see their own site groups.
A banner warns when credits are expected to run out within about 30 days, and again within 7. If they run out, AI features pause until more credits are added.
