Creating, assigning and tracking tasks

Create tasks for ad-hoc lab work, link them to records, assign teammates, work in bulk, and follow open tasks across the lab in Team tasks.

Not everything in a lab comes from a schedule. Use tasks for the rest, such as chasing a vendor, setting up a new bench or following up a conversation.

Creating a task

Click "New task" and give it a title and description, the site group and subspecialty it belongs to, a status, priority and category, a due date and an assignee (you, unless you choose someone else). Link it to the records it concerns, such as an analyte, analyzer, SOP, experiment, quality event or QC lot, so anyone opening it can go straight to them.

The assignee must belong to the task's site group and subspecialty. If they do not, you are told which one is missing.

Once a task exists, add notes to it and mention teammates with @ to bring them in. If a task was filed in the wrong site group, you can move it to another one.

Working with many tasks

Select several tasks to edit, assign, complete or archive them in one go. Tasks the system created for you close when their work is done, so you cannot complete or archive them from the list.

Every task has an audit trail, which you can download as a PDF. Archived tasks are listed at the bottom and can be restored.

Labels

The Primary Site Administrator can rename and recolor categories, statuses and priorities, and add new ones, on the "Labels" page. The built-in categories match the areas of the app, such as SOP, Training, Quality Event and Proficiency Testing.

Team tasks

Open "Team tasks" to see open tasks across the lab, with the same calendar, list and filters as My Queue. It is for people who look after others' work, and it is available to every role except User and Trainee unless your organization changes that.
